HPYFA Volunteer Coordination Team

The Hamburg Pirate Youth Football Association is a volunteer-run, non-profit organization.  The key to the success of the program is parental volunteering to insure well-run games and a positive experience for the players, fans, visiting teams and officials.  This requires a commitment from every football, cheer and pom family in the HPYFA.

The volunteer program is managed by Lucy Colman, HPYFA Volunteer Coordinator, and the Team Volunteer Coordinators from each Football, Cheer and Pom Team. The Team Volunteer Coordinators along with Lucy, make up the HPYFA Volunteer Coordination Team.  This team of coordinators will work with the parents of each football, cheer and pom team to insure that the required positions at our home games are covered.  The volunteer positions include:

Team Volunteer Coordinator—responsible for scheduling your team’s parents to fill the required home game volunteer slots for your team’s home games.
Gate—minimum of 2 volunteers per home game
50-50—minimum of 2 volunteers per home game
Chain Gang—3 volunteers per home game
Press Box Clock Operator—1 volunteer per game
Press Box Spotter—1-2 volunteers per game
Concession Stand—minimum of 4 volunteers per game

Volunteer Scheduler. The requirements for this position are:

  • Must be available during the week to create a master list of the scheduled parent volunteers for Saturday games.
  • Collect the schedulers from the Team Coordinators and put the information into a master sheet to insure all shifts are covered. Designate a day to be at the practice fields to collect schedules.
  • To make a sign-in sheet by the Thursday before each home game to be handed in to HPYFA board member.
  • This position requires individuals to have internet access, word & excel experience, and have time during the week to accomplish scheduler to meet deadlines.

Each team has 4 to 5 home games.  This requires that each team will have 52 to 65 volunteer positions to cover during a typical season.  If a team has an additional home game, that will generate additional volunteer slots to cover.  Spread evenly across all of the parents in the program, the volunteer requirement is not overly burdensome.  It just requires everyone to do their fair share.

Parental Volunteering Requirement

Parental Volunteering is important to the success of our program.  We have several important positions that must be covered at our home games if we are to have smooth-running games for our players, fans and visiting teams.  All parents are required to volunteer for three home game volunteer slots for each child participating in the program.  Game-day assignments will be made by the volunteer coordinators.

HPYFA Volunteer/Equipment Deposit—New for 2011

HPYFA requires that a Volunteer/Equipment Deposit be paid at the time of equipment pick-up.  At equipment hand-out, each participant must submit a check made payable to HPYFA in the amount of $100 US Dollars.  This check will be held by the HPYFA and will be returned to the participant’s parents un-cashed upon fulfillment of the volunteer requirement and on-time return of all program issued equipment and uniforms.
